Onboard new volunteers: how to build loyalty
Why onboarding is so important
Many associations experience the same pattern: eagerly attracting new volunteers, but after a few months they drop out. Unclear expectations, an unwelcoming feeling, or no answers to practical questions are the main causes. A structured onboarding prevents exactly this.
Stap 1: welkomstgesprek of rondleiding
Plan right after sign-up a short welcome moment: a tour of the premises, an introductory meeting with the coordinator, or an informal cup of coffee with the team. It doesn’t have to be long; even twenty minutes makes a big difference to the sense of welcome.

What exactly is expected of the new volunteer? Create a simple task overview:
- What are the tasks and responsibilities?
- How often and when are they expected?
- Who can they ask questions of?
- What materials or resources do they need?
Write this down. An oral overview is quickly forgotten. Even a simple A4 page is much better than nothing.
Stap 3: koppel een buddy
An experienced volunteer as a buddy or mentor dramatically lowers the barrier. The new volunteer has one single point of contact for practical questions ("Where is the key to the back kitchen?") and social questions ("How do you run things around here?"). Choose a buddy who is genuinely enthusiastic; that is contagious.

Which apps or tools do you use for communication and planning? Ensure the new volunteer has immediate access and clear guidance on how it works. A WhatsApp group, a schedule in an online tool, or an email list. The volunteer should know how to stay informed and how they can communicate themselves.
Stap 5: evalueer na zes weken
Plan a short evaluation moment after the first six weeks. Ask how it’s going, whether the expectations are right, and whether there are any ambiguities. This is also the moment to ask whether the tasks fit the person well. Small adjustments early in the process prevent frustration later.
Erkenning en waardering
New volunteers want to know that their effort is recognised. Thank them publicly (in the newsletter, on social media, or at a meeting) for their initial contribution. A small token of appreciation. A card, or a personalised note of thanks addressed to them by name, has an unparalleled effect on motivation and loyalty.

Onboarding works best when it is a standardised process, not when it depends on the availability or initiative of one person. Document the process, create a checklist and ensure it is always carried out, even when things are busy.
