Safety in your venue: obligations and practical tips
Fire safety
Fire safety is the most comprehensive safety domain for public buildings. Minimum requirements:
- Smoke detectors: mandatory in all spaces
- Extinguishing equipment: fire extinguishers in the right places, certified and replaced on schedule
- Escape routes: always clear and clearly indicated with illuminated emergency exit signs
- Fire alarm system: for larger establishments mandatory, including connection to the fire service
- Operating permit or notification: check with the local council whether your building falls under this
Have fire safety inspected annually and keep a log of inspections and maintenance.
BHV: Company Emergency Response
Every organisation with staff or volunteers is legally required to have BHV. BHV'ers are trained in evacuation, first aid and firefighting. How many BHV personnel you need depends on the size of the building and the occupancy. As a rule of thumb: at least one certified BHV member per activity where the public is present.
Ensure an up-to-date training plan so BHV certificates are renewed on time.
Evacuation Plan
Develop an evacuation plan and display it prominently in the building. The plan describes:
- The escape routes per room
- The assembly point outside the building
- Who triggers the alarm and who checks the space for those left behind
- How to handle visitors with a disability
Practice the evacuation at least once a year. Also volunteers who staff the bar must know what to do.
First Aid and AED
An AED (automated external defibrillator) saves lives in the event of a cardiac arrest. Consider purchasing one if you regularly host the public. Local funds or the council sometimes co-finance this. Ensure several volunteers know how the device works.
Accessibility
A public building must be accessible to people with disabilities. Practical points:
- Is there a wheelchair-accessible entrance?
- Are the toilets accessible for wheelchair users?
- Is there enough space to move around in the meeting rooms?
- Are there adjustments for people with visual or hearing impairments?
Document and Update
Store all safety documents (inspection reports, BHV certificates, evacuation plan, operating permit) in one fixed central location. Link the checks to your annual work plan.
