Comparing association software: what to look for?

Why is the right software so important?

Many associations start with Excel, a Facebook group and a paper cash book. That works, until it stops working. As an association grows, keeping track of members, planning volunteers and managing finances becomes increasingly time-consuming. At that moment, association software is no longer a luxury, but a necessity.

Choosing the wrong system can, however, create more work: a tool that does not align with your processes, mandatory integrations with external systems, or costs that rise as you need more features. A thorough comparison pays off.

The five most important criteria when comparing

1. Features: all-in-one or separate tools?

The first choice is: do you want one platform that does everything, or do you choose separate tools per function? Separate tools are often cheaper per component, but they require manual integrations and your data is spread across multiple systems.

An all-in-one platform for associations offers member administration, room hire, volunteer management, finances and events in one environment. This saves a huge amount of admin work and gives you a single up-to-date overview. For most volunteer organisations, this is the smartest choice.

2. Pricing model: watch out for the scaling costs

Association software is offered in three models:

The Verenigingsplanner applies a fixed rate of €9.95 per month (or €99.95 per year). No per-member charges, no hidden surcharges. Setup is always free.

3. AVG and data management

A association manages personal data of members: names, addresses, payment details. The AVG requires you to handle this carefully. Check, for each solution:

4. Ease of use for volunteers

The best system is of no use if the board won’t use it. Choose software that is intuitive for people without an IT background. Ask for a free trial and test it yourself with someone who has little technical affinity. Can you reserve a space or add a new member without a manual? Then you’re on the right track.

5. Support and continuity

If something goes wrong during an event or a members’ meeting, you want quick help. Check whether the supplier offers Dutch-language support, through which channel (email, chat, phone) and how quickly they respond. Also continuity counts: has the company existed for more than five years? Are there reviews from other associations?

Our recommendation for Dutch associations

For most Dutch sports clubs, community centres and village halls, an all-in-one platform with a fixed monthly fee is the best choice. It saves time, prevents error-prone integrations and gives a single up-to-date overview of members, finances and planning.

The Verenigingsplanner has been specifically developed for Dutch volunteer organisations: fully in Dutch, AVG-compliant, and with direct support. Setup is free. You only pay when you go live.
